Calendar Settings

To edit Calendar preferences in Settings, you must have Admin privileges. To become an Admin, you must ask for an existing Admin at your practice (most likely a primary physician account holder) to grant you privileges via Manage Accounts in Settings.​

Managing Appointment Types

Add, edit, and delete appointment types that you can create in the Elation Calendar.

To create a new appointment type:

  1. Click 
  2. Fill out: 
    • Name of your appointment type
    • Tag name and color for the scheduler (to help you identify this appointment type at a glance in the scheduler)
    • Duration
    • Visit Note Type. Add a Visit Note Type and when you click this appointment from the scheduler, the visit note that is created will be of the type specified here
  3. Click "Save"
  4. Reload your Practice Home to allow your updates to display


To edit an existing appointment type:

  1. Click “Edit” on the appointment type that you wish to edit
  2. Change the name, tag, duration, or visit note type
  3. Click "Save"
  4. Reload your Practice Home to allow your updates to display

To remove an existing appointment type:

  1. Click “Remove” on the appointment type you wish to remove

Note: If there are any past or currently scheduled appointments that are assigned the type that you remove, those appointments will continue to keep that appointment type. Removing an appointment type means that you will no longer be able to create new appointments with that type.

To sort appointment types:

Click on the handle    on the left hand side of the appointment type and drag it to re-order it. The order of your appointment types in Settings will be reflected in the appointment “reason” drop-down menu in the “Create Appointment” window in the Scheduler.


Managing Exam Rooms

Add, edit, and delete exam room names that you can use from the Elation Calendar. You select from your list of exam rooms after you indicate that a patient is "checked in: in room."

To create a new exam room:

  1. Click 
  2. Fill out the room name
  3. Click "Save"

To edit an existing exam room:

  1. Click "edit" on the room that you wish to edit
  2. Change the room name
  3. Click "Save"

To remove an existing exam room:

Click "remove" on the room that you wish to remove.

Appointment Time Block Intervals

Set the duration of the intervals in the Calendar for everyone in your practice.

For example, if you set the block interval at 15 minutes, the scheduler will display times throughout the day in 15-minute increments:


Hide Appointment & Event Durations

Provides you with the option to hide duration times that show up on appointments and on events.


Show Cancelled Appointments

You have the option to view cancelled appointments in the Calendar.

Automated Appointment Reminders

You have the option to send patients appointment reminders 2 calendar days ahead of their scheduled visit. Patients will receive a reminder at 12 PM local based on the contact information in their patient details.

To turn on appointment reminders, go to the Calendar section in the Settings page, and click "Yes" next to Send automated patient appointment reminders:

Our system uses the following logic to determine which notification to send:

  1. Preferred contact method. If not, then:
  2. SMS Text to the mobile phone number. If not, then:
  3. Email notification to the email address. If not, then:
  4. Phone call to a home or main phone number.

Note: We do not send notifications if only work, night, fax, or other phone numbers are available.

To view the appointment reminder status:

  1. Click Actions next to the appointment in the Elation Calendar
  2. Select View/Edit Details
  3. Review the appointment reminder details under Status

Note: You can also update patient contact information or reminder preference from this window.

To change preference for patients that opt out:

  1. Open their Patient Demographics window
  2. Scroll to the bottom and Check the 'Patient wishes to opt out of appointment reminder' button
  3. Click Save
