What are document tags?

Similar to Patient Tags, you can tag reports, visit notes, and non-visit notes in Elation to categorize them for better organization, and to make them easier to find via chart search and Patient List reporting search.

 

Why are document tags valuable?

Tagging your documents in Elation will help you find information faster and even keep track of your patients. Document tags allow you to categorize your reports and can pre-populate the title for you.

For example, by tagging Procedure Reports with their specific procedure name, like Colonoscopy, you can use the Patient List search to find patients who do not have any reports tagged with "colonoscopy," providing you with a list of patients who have not had that procedure documented in their chart.

 

How to manage my document tags database:

Did you misspell a tag? Did a staff member tag a report as "Colonoscopy" and now that tag is saved in your Document Tags database? You can easily correct that at any time.

You can manage your list of document tags in Settings, under "Document Tags", and remove tags you do not want, correct misspellings, or add new tags. You can add detailed descriptions to your tags to help everyone in your practice understand what each tag signifies. You can also add specific codes, like ICD-9, SNOMED, Procedure, and other codes, which will be helpful in the future for government quality reporting metrics.

How to create a new document tag:


While tagging reports, visit notes & non-visit notes:

  1. Start typing the name of tag you want to add and select "Add new tag" at the very bottom

  1. Fill in the desired fields for your tag and click "Save"

While in the Document Tags Settings page
  1. Click  Screen_Shot_2015-06-25_at_4.29.47_PM.png
  2. Enter the desired tag name, and optional description and code.
  3. Click "Save"​

How to edit an existing document tag from my database:

  1. Click “edit” on the document tag you wish to edit
  2. Change the name or code
  3. Click "Save"
User Tip: only ADMIN users can change existing document tags.



 

How to remove an existing document tag from my database:

Click “remove” on the document tag you wish to remove.
 
User Tip: only ADMIN users can change existing document tags.



 

How to add a document tag while filing a document

To add a tag while filing a document:

  1. Choose a document category, and then you will be able to add a title and/or a tag.
  2. If you select a tag first, the title field will be pre-populated with whatever the tag label is, which you can then edit. An example tag could be "Colonoscopy" and the more specific title might be "Colonoscopy from Dr. Brown at Sutter".
    • User Tip: Tags should be more generic, so you can run reports (for example, on all colonoscopies) and titles can be more specific and add additional detail.
  3. You can add a new tag if you want (with an optional description and code), or choose from the list you already have.
  4. Click "File into Chart" to file your tagged document.

How to add or remove a document tag inside the patient's chart


Reports:

To add a document tag to a report, open up a saved report and click "Actions". You can choose "Edit Details" to add tags to the report or delete tags from a report.

Visit Notes:

For a visit note, if you are still drafting a visit note, look near the bottom of the unsigned visit note to see the option for "+Tag"

  • User Tip: If a tag already exists, click on an existing tag to add or edit/remove tags

If you are editing tags for a signed visit note, click "Actions" in the upper right hand corner of the visit note and click "Add or Edit Tags".


Non-visit Notes:

For a non-visit note, if you are still drafting the note, look near the bottom of the unsigned note to see the option for "+Tag"

  • User Tip: If a tag already exists, click on an existing tag to add or edit/remove tags

If you are editing tags for a signed non-visit note, click "Actions" in the upper right hand corner of the note and click "Add or Edit Tags".

 

How to run reports on document tags

You can search by document tag within the Patient List Report, just like you can with patient tags! This will allow you to run more powerful searches once you start tagging your documents and will allow you to find out the answers to interesting questions like:

  • Which of my patients have never had a colonoscopy?
  • ​Who has come in for a New Patient visit, but have not had a follow up visit?
