Introduction

ElationEMR offers you the ability to manage the user accounts in your practice straight from Elation EMR's Settings. You can:

  • Invite new physician and staff users
  • Disable physician and staff accounts
  • Change users' Administrator rights
  • Edit account details (name, email address, etc.) of existing physician and staff users

Access Elation EMR's Settings by clicking the "Settings" link that appears when you hover your mouse cursor over your username in the top right corner of the app:

What does the User Accounts page look like?

Here's a sample of the "Manage User Accounts" page in Elation EMR Settings. Physician and Staff accounts are kept separate on the page, and within each section, you can see separate lists of Active and Inactive users. When you disable a physician or staff account, the name of the user will move from the Active list to the Inactive list.

How do I manage the user accounts in my practice?

First, only Administrators have permission to manage user accounts in Elation. If you do not see "Manage Accounts" in your Settings page, then you are not an Administrator, and must request to be made an Administrator by another Administrator. (The primary physician account holders in your practice are most likely Administrators).

Here is a breakdown of how the Manage User Accounts page works:

How do I invite a new physician to our Elation practice?

**Note**
Each time a new physician is added and credentialed in your Elation practice, Elation will charge an additional monthly subscription fee for that new prescribing user. Any number of non-prescribing staff accounts can be added for free.

1. Click the "Invite Physician" button under the Physicians list.
2. Fill out the invitation form, pictured below:

**Important**
You are not required to complete these steps at the bottom of the form before you send the invitation to the new physician, but these steps must be completed before the new physician's account can be fully activated.

If you send an invitation to a new physician and did not complete the Credential, eRx, and Electronic Signing steps, the new physician will be prompted to upload the necessary completed forms and copies of licenses when he or she signs in for the first time.

How do I invite a new staff member to our Elation practice?

1. Click "Invite Staff" under the Staff list.
2. Fill out the staff invitation form, pictured below:

What happens after I send an invitation to a new physician or staff?

The physician or staff member that you invited will receive an email from Elation EMR with instructions explaining how to activate their new account and sign in to Elation EMR.

How can I set up a mid-level provider to have Prescriptive Authority?

After this is set up, printed prescriptions and e-prescriptions written by the provider with Prescriptive Authority will contain two sets of identifiers: those of the prescriber and those of his or her supervisor.
  • The prescriber and supervisor's information will also be indicated on the medication order record that appears in the patient's chart in Elation.

Providers with Prescriptive Authority can also assign staff Rx delegates. When a staff delegate executes a Rx order for a provider with Prescriptive Authority, his or her name will appear alongside the prescriber's and supervisor's in the medication order record in Elation. Click here to learn how to set up Rx staff delegates.

Can disabled user accounts be turned back on?

Yes. Disabled accounts will appear in the Inactive Users list under Physicians or Staff (depending on who the account belonged to). To turn a disabled account back on, simply click "Enable" under the user's name. Remember, when an account is disabled, that user will not be able to log in to Elation.
