Fax Inbox Guide - Uploading documents to the Fax Inbox

This article describes how you would upload documents from your computer/laptop to the the Fax Inbox.

Overview

How do I upload documents to the Fax Inbox?

You can upload documents from your computer to the Fax Inbox using one of the two methods below:
  • Using the Upload Files button in the Fax Inbox toolbar
  • Using the drag-and-drop feature
 

When would I upload documents to the Fax Inbox versus directly in a patient’s chart?

Documents from the Fax Inbox can be filed into the patient’s chart for records, including uploaded documents. For certain scenarios, it is better to upload documents directly into a patient’s chart. We recommend uploading documents to the following locations depending on the following scenarios:
 
Upload to Fax InboxUpload to Patient’s Chart
A single document containing records for multiple patients.A single document for a single patient.

Which file formats does Elation Support?

Elation Supports the following document file formats:
  • .PDF, .JPEG, .PNG, or .GIF files
    • You will see the images of these documents directly within the Fax Inbox and patient charts. 
  • All other file types (ie. .DOC, .CSV, .XLS, etc.)
    • You can store these files in the Fax Inbox and patient charts. However, to view the content of these files, you must download the file to your computer and open the file with compatible software on your computer.
 

Workflow Instructions

Using the “Upload Files” button to upload documents to the Fax Inbox

One method for uploading documents to the Fax Inbox is by using the Upload Files button located at the top of any section of the Fax Inbox. This scenario is most ideal for uploading multiple document files at once. 
💡 USER TIP
We recommend uploading documents to the Unfiled Images section of the Fax Inbox to distinguish uploaded documents from faxed documents (which would be stored in the Incoming Documents section).



To upload document files using the Upload Files button:
  1. Open the Fax Inbox.
  2. Go to the Unfiled Images section.
  3. Click Upload Files.
  4. Locate the document files you want to upload from your computer.
  5. Select the document file(s) and then click Open.
💡 USER TIP
You can select multiple files by holding down the "Control" or “Command” key on your keyboard while you click on the files that you want to upload.
  1. You will see notifications at the top of the Unfiled Images section indicating that the files you selected are processing.
ℹ️ CAUTION
Do not move or delete any of the files from your computer before they have finished uploading.
  1. Once the document file has finished processing, you will see a yellow banner at the bottom of your Fax Inbox indicating new documents are available.
  2. Click the Refresh button in the yellow banner to refresh your Fax Inbox to see the newly uploaded document files. 
    • Each document file will appear in its own listing. 
    • The title of each document listing will be the title of the file as it is on your computer.



 

Using the drag-and-drop feature to upload documents to the Fax Inbox

One method for uploading documents to the Fax Inbox is by using the “drag-and-drop” feature. This scenario is most ideal for uploading documents one by one. 
  1. Open the Fax Inbox.
  2. Go to the Unfiled Images section.
  3. Separately locate the document file you want to upload on your computer.
  4. Use your mouse/trackpad to click on a file from your computer, hold down the cursor and then drag the file over the Fax Inbox.
  5. A blue Drop Here to Upload graphic will appear.
  6. Let go of your cursor to drop the document into the dotted blue square.
  7. You will see notifications at the top of the Unfiled Images section indicating that the file you selected is processing
ℹ️ CAUTION
Do not move or delete any of the files from your computer before they have finished uploading.
  1. Once the document file has finished processing, you will see a yellow banner at the bottom of your Fax Inbox indicating a new document is available.

Frequently Asked Questions

Do I need to keep the Fax Inbox open when uploading a document?

You do not need to keep the Fax Inbox open when uploading a document. If you navigate away from the Fax Inbox while a document is still processing, the progress bar will still be there when you return. However, do not delete or move the file(s) from where they currently are on your computer before the processing is complete.
