What is fax usage?

Elation supplies customers with electronic faxing capabilities directly within the EHR. 
Fax Usage is the amount of inbound fax pages received, plus the amount of outbound fax pages sent, by the entire practice for a given calendar month. Each Regular (i.e. full-time, prescribing) Provider Level User is allotted a combined total of 1,500 free inbound and outbound fax pages each calendar month. All other user types are not allotted any free pages.
  • This means the 'free' fax pages per practice is the combined total of 'free' fax pages for all Regular (i.e. full-time, prescribing) Provider Level Users in the practice (i.e. if your practice has 2 Regular Provider Level Users then the practice's 'free' fax pages total is 3,000 pages).
 

What are the benefits of tracking fax usage?

You can monitor your fax usage to ensure your practice does not go over the monthly 'free' pages. Elation charges $0.07 per page if your practice exceeds the allotted free fax pages total for a given calendar month. You will be invoiced at the beginning of each month for your previous month's fax overages, if any.


 

Monitoring your practice's fax usage

To view and monitor your practice's fax usage:
  1. Click on your email the top of your Elation account and then click "Settings".
  2. Click into the "Fax Usage & Settings" section of the Practice Settings.

The Fax Usage & Settings page shows real time data. All inbound faxes received via the Fax Inbox and all outbound faxes sent via the Letters or Referrals features are counted towards the fax usage. Failed faxes are not counted towards the fax usage.

 

Premium EHR features

Premium EHR users can enable a Setting to only allow Admin Level Users to view the Fax Usage & Settings page. Once enabled, only Admin Level Users will see the Fax Usage & Settings in their Elation Settings; non-Admin Level Users will not see this page in their Elation Settings.

 
Important Note: This feature is part of Elation's Premium EHR offering. Once this feature is activated it will take effect immediately. 
  • If you are already a Premium EHR user and you are interested in using this feature, click the "I need help" button to notify Elation and a member of the Elation Team will activate the feature for you.
  • If you are interested in upgrading to Premium EHR to use this features, click the "I need help" -> "Contract Elation Support" button and a member of the Elation team will assist you.


 

Frequently Asked Questions

How can I better manage my fax usage?

As best practice, in order to minimize your outgoing fax page count, you can choose to not fax attached documents when sending Letters or Referrals via fax. This way, recipients can go online to securely retrieve the attachments and your practice conserves fax usage.

Do I get charged for fax usage if I go over my free allotment?

Yes, Elation charges $0.07 per page if your practice exceeds the allotted free fax pages total for a given calendar month. You will be invoiced at the beginning of each month for your previous month's fax overages, if any.

 

Can I purchase more fax pages for my practice?

Yes. Click the "I need help" button to ask us about our fax packages.


 

The Fax Usage page is not showing my fax package. Why?

The Fax Usage & Settings page will only display your standard free pages. If you have a fax package, separately add that amount on top of your standard free pages to calculate your monthly free pages.

 

Do failed faxes count towards my fax usage?

No. Failed faxes do not count towards your fax usage numbers. If you resend the fax successfully then it does count towards your fax usage.

 

Is the fax cover page included in my fax usage count?

Yes. The fax cover page sent by Elation for HIPAA compliance does count towards your fax usage.

 

Does the page instructing providers to view the chart online count towards my fax usage?

Yes. The page instructing providers to view the chart or attachments online does count towards your fax usage.
