Letters & Referrals Guide- Sharing documents with other Elation EHR Users
If you share patients with another provider who also uses Elation EHR, we made communicating and sharing documents between Elation EHR users just as easy as approving an electronic refill request.
  • Send Letters/Referrals back and forth between Elation EHR practices.
  • Automatically file those Letters/Referrals and their attachments into the patient’s chart - no more faxing, scanning and then manually filing those documents.
  • Send replies back and forth -- just like sending messages with your patients.

Sending the Letter/Referral

When you write a Letter/Referral to another provider who uses Elation EHR (like Kary Smith, MD) the provider's name will show up specially marked in the search results with an Elation User Icon.png. Make sure you select the contact with this special logo on it to ensure your information reaches the provider correctly.

  1. Type a Subject line and Body for your Letter/Referral
  2. (Referral only) Fill out Referral details:
    • Auth For = What type of referral is this or what type of authorization did you obtain from the patient's insurance company?
    • Auth #= What is the referral or treatment authorization number you obtained from the patient's insurance company?
    • Add Dxs = Enter ICD-10 codes that support the referral
  3. Select your Settings for the Letter/Referral
    1. Post Date= Choose a date to send the Letter/Referral if you wish to send it after today. See Post Date a Message Guide- Reminders & Task Follow Up for more information about this feature.
    2. Unread Alert= Alert yourself if the Letter/Referral has not be read by Dr. Smith by a specific timeframe
      • User Tip: This is a great feature to assist with follow-up; especially for Referrals.
    3. Print Header= Select the practice header you want to appear on this Letter/Referral.
  4. Attach patient data by
    1. Clicking the "Select Chart Items to Attach" button
      1. The Most Recent records you can attach will be displayed first. You can also choose specific records from the chart to attach by selecting on a record category in the left column.
        • User Tip: You cannot attach records that are still in Requiring Actions or Outstanding Items.
      2. Check off records you want to attach & then click "Attach Items"

  • Clicking "Attach Everything in Chart" if you want to attach all records from the patient's chart 
  1. When you are ready to send the Letter/Referral, click "Sign & Send"
    • You will also see other options under "Sign & More" such as:
      • "Sign, Send & Print Pt Copy"= Sends the Letter/Referral & prints the body of the Letter/Referral without attachments
      • "Sign & Print w/attachments"= Sends the Letter/Referral & prints the entire Letter/Referral with attachments
      • "Sign, Send & Create Follow-up Letter"= Sends the Letter/Referral & starts a new draft to Dr. Smith to assist with follow up
    • Important Note: Only provider level users can sign Referrals. Staff level users cannot sign Referrals unless they are an authorized Referrals delegate.


After you click "Sign & Send" the Letter/Referral will be filed in your patient chart as it appears below.
  • User Tip: You can tell if and when the recipient has opened your Letter/Referral or not by looking at the status at the top of the Letter/Referral.

Receiving the Letter/Referral


Within a minute or two, Dr. Smith will receive the Letter/Referral you sent, directly in her Elation "Provider Letters" Practice Home inbox to review. If the patient already exists in her practice, the letter will be stored directly in that patient's chart. If not, a new chart will be created.

Dr. Smith can view the letter, view all attachments, and sign off or reply right from the Practice Home! She can open the patient chart to view the whole patient history.

Signing the Letter/Referral as the recipient

When Dr. Smith signs off the Letter/Referral, she will have the option to file the attachments you sent over as Reports to add the attachments to her own list of patient records.

The Letter/Referral plus all of its attachments will then be stored in Dr. Smith's patients' chronological record.

Communicating from the Letter/Referral


If Dr. Smith has any questions for you, she can write you a message which you will then see in your own Practice Home page. You can also reply to continue the conversation. When the conversation as ended, you can click "Acknowledge" to keep the Letter/Referral in the patient's chart.
